Copilot Adoption Framework Jumpstart

SoftJam S.p.A.

The Copilot adoption framework includes a series of steps for informed adoption, starting from the verification and management of the technical prerequisites to enable its use.

The planned steps for Copilot adoption framework are 5:

  • Technical Requirements: aims to verify that the organization has met certain technical requirements and enabled certain features. Among the activities, checks of the Network connectivity principles are also carried out.
  • Data Governance: this phase aims to verify the security model of access to data sources and retention management in order to avoid accidental dissemination of confidential and/or obsolete information. The planned activities are the definition and application of data mapping and data classification criteria to documents accessible by Copilot with Microsoft Purview in order to allow the generation of content compatible with the level of confidentiality of the data sources used and the definition and application of criteria for managing the life cycle of documents and the information they contain in order to prevent obsolete data from being used for document production.
  • User General On-boarding: spread basic knowledge of the tool and possible usage scenarios within the organization. The main planned activities are: identifying Champions within the organization, introducing Copilot and the importance of data protection, providing a visual overview of the Copilot user interface, demonstrating the value of using AI-based chat at work, providing examples of user scenarios, explaining how to write an effective prompt.
  • Tailored Use case and measures: adopt Copilot on Champions of the organization, measure its use and effectiveness to subsequently share the results and actual usage scenarios in the operational reality. The main tasks carried out in this phase are: identifying, with the support of the Champions, tasks associated with roles or processes on which to adopt Copilot, defining an observation period and recording the results, measuring their effectiveness, implementing scenario cards starting from those identified to create a knowledge base for the internal dissemination of the same.
  • Cross organization adoption: progressively extend the service to other areas of the organization in a controlled manner based on the results obtained by the champions, data governance and other critical factors. The steps taken are to evaluate with the champions the extension to other users of their respective area/processes, extend the general user on-boarding initiatives to the service, share the scenario cards created and collect feedback.
