Microsoft Purview Records Management Assessment & Strategy - 9 wk Assessment

The Microsoft Purview Records Management Assessment and Strategy offering provides a strategy and roadmap that includes considerations for:​

1. Client’s current record management policies, procedures and file plan​
2. Client’s information classification policy​
3. Implementation of file plan within Microsoft Purview, along with disposition reviews, event-based retention, adaptive scopes, and auto-apply retention label policies

Objectives:

Protiviti will work with the Client utilizing the following approach

1. Conduct a series of information-gathering, discovery workshops aimed at understanding the organization’s current state, including:​ 1a. Current Microsoft 365 environment​ 1b. Current policy documents, processes, and record retention schedules​ 1c. Disposition actions, controls, processes and required approvals​ 1d. Data classification policies and capabilities

2. Produce a Microsoft Purview Records Management Strategy document, including actionable recommendations with a focus on:​ 2a. Microsoft Purview retention policies and retention labels​ 2b. Disposition Reviews, including customization of approvers and processes (if needed)​ 2c. Automation of records management processes​ 2d. File plan management, information architecture and event-based retention

Phase & Activities

Project Initiation

1. Kickoff Meeting: Review goals, responsibilities, and objectives​
2. Plan & prepare a detailed workshop agenda and project plan

Discovery & Information Gathering

1. Conduct up to three (3) discovery workshops to capture detailed information regarding:​
2. Current Microsoft 365 environment configurations​
3. Records management policies, processes and retention schedules​
4. Disposition actions, controls, processes and required approvals​
5. Data classification policies and capabilities​
6. Review all collected data; synthesize findings and observations; Research and answer outstanding questions

Microsoft Purview Records Management Strategy Document

1. Produce a Microsoft Purview Records Management Strategy document with proposed recommendations for:​
2. Utilizing built-in Microsoft Purview Records Management capabilities to meet organizational records management policy requirements, including Retention Policies and Retention Labels​
3. Identification of approved repositories for records of business value and transitory information​
4. Automation of records management processes for information within Microsoft 365​
5. Disposition Reviews, including customization of approvers and processes (if needed)​
6. File plan management, information architecture and event-based retention​
7. Provide a DRAFT strategy document to Client, collect feedback, iterate (maximum of two iterations), and finalize​
8. Present finalized Microsoft Purview Records Management Strategy to Client stakeholders
