Teams & SharePoint Governance Suite - 2 Week Proof of Concept

Problem statement:

• Too many Teams/SharePoint Sites at an Org level. Not much clarity on relevance. Some of them are too old and no one might be using them.
• Everyone might be creating Teams/SharePoint sites at will. Absence of Governance around it.
• Everyone might not understand that too many sites and the corresponding content takes up space on the Cloud tenant and adds to a recurring cost.
• Any governance implemented might need to fix the existing issues with the old sites.
• There is no consistency in the way the sites are branded for different departments.
• Team members are from different geographies. The sites should be created in SharePoint/Teams in their local language.

What is Teams & SharePoint Governance tool and what does it accomplish: The Microsoft365 Team at Tarento has developed a cloud governance tool to oversee and manage SharePoint and Teams within the tenant. It also empowering end-users to request and provision sites. The Tool has been built using Power Apps, SharePoint Lists and Power Automate.

Capabilities

• Ability to create various types of Sites, including SharePoint, Teams, and Channels​
• Option to select from different templates for different types of sites (Teams or Share point)​
• Option to add Owners and members to the Site directly, rather than through the SharePoint Admin center​.
• Option to set an expiration date for the sites, allowing administrators to archive them once the date has passed​.
• Selection options for site templates based on internal, external and departmental use within the organization​.
• Requesters can track the status of their requests in a dashboard-like view​.
• Approvers can review and approve requests from the dashboard or through approval emails or Teams​
• Configurable settings for language selection and translation​
• Option to automate clean up as needed​
• Reports can be generated and viewed, such as Sites created by month, date and type.
